This article outlines how to transfer existing activity enrollments from your previous system into Recreation Management.
Important Notes
- There is not an option to import activity registrations into Recreation Management. All enrollments will need to be manually enrolled. Memberships can be imported into Recreation Management. See the Membership Import or Manual Membership Migration article for more details.
- If you do not want to enter all enrollments manually, and you have the option to operate out of two systems temporarily, you can decrease your enrollment maximums in Recreation Management to match what is available in your old system. For example, if you can accommodate 20 participants in a fitness class and you already have 12 enrolled in your previous system, you can decrease the maximum number of participants allowed to enroll in Recreation Management to 8. Also, you'll want to close registration in your old system to prevent duplicate registrations.

Create an Account for the Participant Note: If you purchased a User Import, make sure the import is completed before beginning to transfer activity registrations.

Create the Activity and the Session for the Program you need to enroll users into. Note: If you purchased an Activity Import, make sure this import is completed before beginning to transfer enrollments.

Create a Paid-in-Old System Payment Type Note: This is a fake payment type only used to enter existing registrations that have been paid for into Recreation Management. Once you have transferred all your activity registrations/facility rentals, you can check the Hide from List setting on the payment type so it no longer displays on the catalog.
- Navigate to the Catalog tab
- Search for and select Account
- Navigate to the Catalog Tab that contains your Session
- Select the Activity
- Select the Session
- Select the user(s) in the account you would like to enroll in the session
- Click the Add to Cart button
- Click Checkout
- Confirm any Attachments (these will vary based on session)
- Fill out any prompts (these will vary based on the session)
- Complete or email any waivers (these will vary based on session)
- Review details on the Payment screen
- Pay Later: You can set the full balance or a percentage (25%, 50%, or 75% of the total) of the entire cart to be due at a later date. Learn more about Pay Later by reading our Apply Pay Later at Checkout Article.
- If the item has already been paid before entering it in Recreation Management select the Paid in Old System Payment Method for the purchase.
- Add the payment to the transaction
- Click the Complete Transaction button
- View the email and/or print the receipt
