CivicRec administrators are able to use the Journal Entry tool to correct any transactions that may have been put towards an incorrect GL code or had other errors. All transactions completed through this tool will also appear in the Action Log for tracking purposes.
Instructions
- Navigate to the Financial tab, and then select Journal Entries
- Fill out the following Journal Entry fields

Effective Date: This will display the current date. The Effective Date can be backdated for financial purposes, backdating requires a note to be entered. If it is backdated and the note is not filled out it will prompt you before you can save it.
- Cost Center: The Cost Center field will only be visible if it is supported for your Organization. If applicable, select the appropriate cost center from the list.
- GL Code: Choose the GL code for the transaction
- Debit: Enter the correct debit amount
- Credit: Enter the correct credit amount

- If needed, select the + sign to add additional rows
- Add Notes to describe the Journal Entry
- Click Save Journal Entry

Is there a way to retrieve a copy of the journal entry at a later date?
Hey Jodi Reimold,
You can run a GL Detail Report and filter to show only journal entries. This filter is found under Filters > Transaction Filters > Transaction Types > Journal Entry.
