The Catalog Export feature allows you to download a customized .TXT file report of your Catalog. Catalog exports can be used to create activity brochures in InDesign or other programs.

Instructions
- Navigate to Reports
- Search for and select Catalog Export
- Fill out the desired fields:
- Format: Choose a format from the drop-down
- Template: Select a template from the list or create a new template
- Activity Filter(s): Choose the activities/sessions you wish to include in the report
- Tab Filter(s): Check to filter by catalog tabs
- Location Filter(s): Select any specific locations
- Show Discount/Membership Fee For These Discounts: Include the discount fee for any desired discounts
- Instructor Filter: Search for and select specific instructors
- Admin Filter: Filter down by specific admin users
- Activity Sort Order: Choose the order to display the activities
- Session Sort Order: Select the sort order for sessions
- Click Download Export
Note: The export may take a few minutes to prepare before the download begins. Repeat clicks will restart the process.
Create a Catalog Export Template
This article will show you how to create a Catalog Export Template in CivicRec. Catalog exports can be used to create activity brochures in InDesign or other programs.
Instructions
- Navigate to the Configuration tab, select the Templates menu, then select Catalog Export Templates.
- Click New Template
- Fill in Settings fields
- Label/Description: Name your template (Example: Summer 2019)

Date Format: Choose how you want your session dates to display in your export. Valid formatting options are:
- Month: m or mm
- Date: d or dd
- Year: yy or yyyy
- Example: dd/mm/yyyy, mm/dd/yyyy, mm/dd/yy, dd/mm

Time Format: Choose how you want your session times to display in your export. Valid formatting options are:
- Hours: h or hh
- Minute: mm
- AM/PM: A
- am/pm: a
- Repeat AM/PM on Time Range: Leaving this box checked will repeat the AM/PM formatting selected above

Day of Week Formats: Choose how many characters you want your days of the week to display in your export
- Example: M, Mo, Mon, Monday

Price Format: Select how you want your session prices to display in your export. Valid formatting options are:
- Full: $1.00
- Basic: $1

Free Program Display: Type how you want your free sessions to display in your export
- Example: Free or $0
- Click Save New Catalog Export Template
- Navigate through the remaining tabs and customize as needed

Header: The Header template is included at the top of the exported file.

Tabs: The Tab template is included once for every catalog tab in the exported data.

Categories: The Category template is included once for every category within each tab in the exported data.

Activities: The Activity template is included once for every activity within each category in the exported data.

Activity Locations: The Activity Location template is optional but can be used to break sessions apart by location within a given activity. It is included once for every different location within each activity in the exported data.

Sessions: The Session template is included once for every session within each activity or location in the exported data.

Session Schedule: The Session Schedule template is included once or more for every session within each activity or location in the exported data.

Header: The Header template is included at the top of the exported file.
- Click Save Catalog Export Template
Catalog Export: InDesign Import Assistance
This article will show you how to import a file into InDesign, once you have already exported the activity information out of CivicRec. This tool will assist you when you create Brochures.
Once you have successfully exported your Activity List out of CivicRec, please use the instructions below as a guide to import the information into InDesign.

- Click New on the home page
- Fill in the fields (Recommended Specs)
- Document Preset: Default
- Intent: Print
- Number of Pages: 1
- Start Page #: 1
- Facing Pages: Check to apply
- Primary Text Frame: Do not select
- Page Size: Letter
- Width: 8.5 in
- Height: 11 in
- Orientation: Portrait

Columns:
- Number: 1
- Gutter: 0.1667 in

Margins:
- Top: 0.5 in
- Bottom: 0.5 in
- Inside: 0.5 in
- Outside: 0.5 in
- Drag and drop the CivicRec Brochure Export
- Drag the text box onto the page to place the content
- Open Window > Styles > Paragraph Styles to view the ParaStyles Palette
- View imported Paragraph Styles
- Adjust the Paragraph Styles to format
