POS Items

Create a POS Item

Before you begin, it might help to see how your labels will appear on the catalog once you have configured them based on the steps below.

This is an example of the POS tab on the catalog and the 3 main labels you will need to identify in your configuration:

  • Name: Location (E.g., Community Center Pool)
  • Group: Group that the POS items belong to (E.g., Concessions)
  • Item: POS item and price (E.g., Fountain Drink)

  1. Navigate to POS Items
  2. Select Create POS Item
  3. Fill in Basics fields
    • Name: The name of your item which will be displayed in the catalog
    • Description: A description of the item
    • Group: Select the category (or create a new group by selecting the + symbol) that you would like to see this item categorized under
    • Screens: Select one or more screens under which your groups will be displayed; see Create a POS Screen
    • Price: Price can be left at the default setting of $0.00
    • UPC Code: Enter a UPC code to further identify the item
      • Note: This field is optional.
  4. Configure Additional Settings
    • Track Inventory: Select this option if you wish to track inventory on your item
    • Food Service Module: Uses the Food Service module which allows food orders to be viewed and closed out (option availability varies by site)
    • Button Color: Allows a button color to display on POS screen
    • Price Includes Tax: Select if the item price already includes tax; selected tax rate(s) should back out at checkout instead of applying on top of the price
    • Taxes: Select tax rate, if applicable
    • Is User Credit: Select this option if you intend for user credit (in the amount of the price you have set for the item) to be put on your customer's account at the time of the sale
    • Is Admission: Select this to have the sales of this item display in the Admission reports
    • Is Rental: Select this to make the item configurable for rentals in the Rentals module
      • Note: Contact support to have this setting enabled
    • Item Date: Only enter this information to defer revenue in the general ledger
    • Prompts: Select one or more prompts which would require responses at the time of checkout
    • Archive: Select this to hide the item from the main POS screen and catalog
  5. Select Save New POS Item

Note: If your POS item needs to have a GL code assigned to it, navigate to the GL Codes tab and assign your GL code(s) and percentages as needed.
