Program Rollover

This article will show you how to use the Program Rollover feature to roll over activities from one program period to another. Program periods specify the timeframe that a session is available for registration. We recommend using the rollover option for sessions that are very similar from one season to the next.

 

The original program will not be impacted during the rollover process. A new session will be created and added to the specified program period with applicable adjustments.

 

 

Instructions

  1. Make sure you have created the necessary Program Periods
  2. Navigate to Activities > Program Rollover

  3. Fill out Step 1: Select & Review Programs fields to filter for the program(s) you wish to rollover

    • Locations: Select the location of the program being rolled over
    • Programs: Search for the session you would like to set up a rollover for, or use the drop-downs below to find your desired activity and sessions to rollover
    • Instructor: Search and select session instructor
    • Session Admin: Search and select session administrator
    • Session Code: Input the session code
  4. Select the Get Selected Programs button

  5. Fill out Step 2: Make Required Changes fields
    • Program Period: Select new program period(s) or keep existing period(s)

    • Fees Change: Review affected programs for fees and make any fee changes

      • Type: Select Total Fee or Per Session Fee from the drop-down.
    • Registration Date Changes: Review and update any dates

      • Note: If using a program period this will be auto-filled.
    • Late Registration Dates: Some programs include a late registration addon; make any changes to the late registration dates

    • Excluded Date Changes: Indicate any changes in excluded dates

    • Program Codes - Manual Update: Reset the program codes

    • Program Codes - Mass Update: This allows you to update codes for many programs at once

  6. Select Submit Rollover at the bottom of the page

  7. If needed, you can filter the Activity List by Program Period to ensure your new session has rolled over to the correct timeframe

    I cannot find information on what Program Rollover is, why and how to use it most efficiently and effectively. We have just been creating a new session every time a program ends. Can we be pointed in the direction of whether and why this should be implemented?
